Most management decisions are preceded by a complex series of negotiations and discussions. A suitable IT solution can streamline this process, enable inclusion of people in multiple locations, provide tools to increase communication effectiveness, reduce the time for distribution of required documents, reduce related staff and organizational costs, and document the process itself.

With the development of this executive meeting support system, we created an infrastructure that can later be integrated into the flow of the decision making or legislative processes of your organization. The central task of the current system is the presentation of documents in electronic form, along with tools to support the proceedings. Typically the SENATOR system has been implemented to support the regular proceedings of bodies such as ministries, legislative and government committees as well as local governments.

Documents are digitally processed for use in the system at a workstation or office specified for that use. Here those responsible for the documents import them into the meeting agenda, take care of entering the list of discussion items and proposals to the agenda, and ensuring that relevant documents are associated with each item. During the actual meeting, the documents and materials stored on the server are available to all participants in the conference room via the SENATOR client application installed on each of their laptops.

In practice, participants' laptops are connected to the server on a secure wireless LAN, ensuring mobility, data security and ease of connection. SENATOR can be connected to our archival solutions to ensure that data is never lost.

Although initially developed for that market, the SENATOR system is not exclusively for the use of government and legislative bodies. It is an executive meeting support system which was developed originally to meet the functional requirements of these institutions, but has evolved into modular, flexible solution. It can for instance also be integrated with your document management and workflow systems.
